Instructions for using FAM

What is FAM?

We are very excited about the launch of FAM! This enhancement to our Student Database will allow your family the following:

  1. To access the Westside School family database, updated in real time
  2. To access your child’s attendance record
  3. The ability to edit/update your household information at any time, assuring your contact information is accurate at all times so as not to miss communication from Westside School.

The Process

We have created two ways for you to learn about this enhancement. This document will take you through the steps in order to help you access, set up, and use FAM. Additionally, Director of Technology, Michael Le, has created a video tutorial to assist you. Please click here to access the FAM tutorial. We strongly encourage all families to watch the video tutorial for the most comprehensive understanding of FAM.

  1. You will receive a registration link from Jessica E. Butler (jessicab@westsideschool.org)
  2. Once you have registered, you will receive an email from Jessica titled Your Account with instructions on how to log in to your account on FAM
  3. The email from Jessica will provide the email address you originally registered with in our Student Database. It will likely reflect the same email address you used to access the online forms recently completed for your child.
  4. You will receive instructions on how to re-set your password if you have forgotten it.
  5. You will see two links to FAM in the email as well
    1. You are encouraged to bookmark these links on your computer
    2. Click on the first link Family Access

  1. Enter your email and password
  2. At the bottom you will see a button to click if you forget your password

Inside Westside/FAM homepage

  1. Inside Westside has been designed within FAM to allow you to see reminders, updates, and other information. It will always be information repeated in several different places such as the Insider newsletter, the Insider Online blog, the Westside School monitor communication system throughout the building, Facebook, and the weekly Classroom Newsletter from your child’s teacher.
  2. At the top you will see where you can change your log in information
  3. At the top you will also notice a Help button. You are always welcome to email Michael Le (michaell@westsideschool.org) for help as well.
  4. All students associated with your family will be listed to the left. If you do not see one or more of your children listed please contact Michael (michaell@westsideschool.org) immediately.

Individual Student page, attendance/FAM homepage

  1. Once you click on an individual student you will see the attendance record. Records will begin on the first day of school Wednesday, September 9, 2015. You will not see anything noted in this field unless a student has been marked absent, late or noted as leaving early in an academic day. Student presence is not noted.
  1. Attendance records are most often up-to-date for a particular school day by 10:00 a.m. However, there can be exceptions to this so we strongly recommend you note any attendance infraction for a given academic day as permanent once that day has concluded. If you are concerned about attendance records, please contact Jessica E. Butler (jessicab@westsideschool.org)
  1. Please remember to communicate your child’s attendance record via the Attendance email address: attendance@westsideschool.org. This is the most important way we track absences, late arrivals, early dismissals, changes to drop-off or pick-up routine and special requests or changes for EDP or Enrichment Program pick-up. You are welcome to cc your child’s teacher. However, all information will be forwarded to the appropriate Westside School staff/faculty member(s.) No other Westside School staff should be included on these attendance emails.

Directory/FAM homepage

  1. Historically, Westside School has made the directory available to Westside School families in paper format. That will no longer be our practice as we work to save paper and use our time as efficiently as possible.
  2. Once you click on the Directory tab, you will see you can sort it by Parents or by Students.
    1. Parents
  3. The directory will allow you to see the last names of the parents/guardians, their first names, the mailing address, the phone number(s), and the names of the children associated with the parent/guardians as well as their grade level.
  4. The search button at the top right of the page will allow you to search in multiple ways to help narrow your list down, when applicable.
    1. Students
      1. You may sort the student list in two ways, by grade level (alphabetically listed) or all students (alphabetically listed) enrolled at Westside School.
      2. Here, similar information available for parents will be available for students (including full name, grade level, address)
    2. Staff
      1. The staff directory will be available as well, and include the staff name and email. No other information will be provided.

Household/FAM homepage

  1. The most important feature for FAM we are asking families to become familiar with is the Household tab where you can update your contact information such as your mailing address, phone number(s), and email address.
  1. Your publishing options
    1. You have the ability to select a button (top right of the page) to entirely exclude your family from the directory
    2. You have the ability to be included in the directory, but the option to not publish certain aspects (such as a mailing address) If you have difficulty in finding the place to make this selection please contact Jessica (jessicab@westsideschool.org)
    3. You may elect to have all information published and available to Westside School families
    4. Be sure to click Submit for all changes
  1. Parent A and Parent B
    1. This designation was selected when you initially completed your inquiry form during the Admission process. There is no true distinction for Westside School operationally between Parent A and Parent B.
    2. Parent A can select to have their contact information published (or unpublished) while Parent B can elect the opposite if a family chooses.
    3. Be sure to click Submit for all changes
  1. Emergency Contacts
    1. These contacts are very important to us to have as they are the people we acknowledge as who you would like us to reach out to in the event we unable to reach Parent A or Parent B
    2. Please be sure to fill out these sections completely
    3. Be sure to click Submit for all changes

Changes Pending Review/Household

Though the changes made by any parent/guardian are in real time, all changes are pending and will not be reflected in FAM until approved. There are two primary reasons for this feature:

  1. Westside School maintains records of all family contact information in several places. In order to ensure we make the appropriate changes in all database records, we must be notified a change is made.
  2. From time to time, human error is inevitable. We want to be as sure as possible the changes are accurate. If there is any cause for concern, we will contact you regarding a change we have a question about.
